What personal data we collect and why we collect it
We provide a contact form on our website to collect necessary information about customers wishing to book on one of our tours. It’s assumed that anyone submitting data through the contact form is willingly consenting to having their data stored and processed by us to facilitate in running a tour for them. We do use this data for generating some statistics about how our business is running from time to time as well.
In addition to the information you submit in the contact form manually, a time stamp of when the form was submitted is stored and your public IP address at the time is stored. The IP address is a feature that is there by default with our contact form plugin, Contact Form 7. We rarely use it but occasionally it helps us when we’re not sure where customers are from and need to know. For example when someone leaves a phone number with no country code and we need to call them because their email was entered incorrectly.
Cookies and Analytics
We have a cookie known as a Facebook ‘Pixel’ that we use to inform our Facebook marketing efforts. The data collected by this pixel is anonymized, we don’t see it. What it essentially does is it allows us to serve ads through Facebook directly to people who have visited our site before. This form of advertising is called ‘Retargeting’.
We have also got a Google Analytics cookie. The Analytics cookie allows us to get an overview about how people are using our site, where visitors are from and gives us some demographics about visitors such as age, gender, location. This information is again anonymized giving us a general picture of who uses our website and how rather than specific information about any one visitor. The goal with google analytics is to make our website as good as possible by tailoring it to what people respond well to.
Thirdly we are using a third party analytic service called Smartlook. Smartlook lets you literally see how visitors are using your site. It does this in two ways. It creates screen recordings of sessions in real time and it creates ‘heat maps’ (a map of where mouse clicks occur on computer or touches occur on phones or tablets, as well as where people scroll and how for down the page users get before leaving a page). Smartlook also collects your Public IP address so that we know how different users from different locations tend to use our site.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
Who we share your data with
Absolutely Nobody. We only use your data to serve you vodka tasting tours and to help us to find more people like you who would be interested in learning more about the wonderful world of Polish Vodka. That being said please see above. None of us are truly fully aware of how the bigger companies such as Facebook or Google are really putting our data to use and we using their tools are potentially acting as a conduit for your data being collected by them.
How long we retain your data
Any data sent via the contact form is stored indefinitely. How our bookings come in over time and how we are growing is extremely important to us. As is how we serve our customers on a personal level. One on one interactions via email or facebook are as important to us as the general view of our website and we like to look back at how we talk to people from time to time to get better at what we do.
What rights you have over your data
You have the right to see what data we have collected on you. If you have browsed our site or have submitted a contact form then your time on our website will be recorded and we can send you a recording. We can also send you a copy of the data you submitted through the form. Any emails that were exchanged are in your email history too but should you have deleted it we will send you our copy unless ours is deleted too.
You also have the right to request that our data is deleted. We retain the right to save any non personal data turning your booking information into a totally anonymized version for the purpose of tracking the progress of our business.
Where we send your data
How we protect your data
Your data is also stored on our Google Drive which uses two factor authentication to access it. This means that someone who wishes to access the data you have provided us with will need to have one of our phones and the log in credentials to be able to do so.
What data breach procedures we have in place
If someone should successfully bypass our 2FA measures and obtains our password and gains access to the data we have stored we will comply with the GDPR stipulation and inform each person affected within the 72h period. None of the data that we store is very sensitive. The closest thing to personal sensitive data that we collect is your phone number which you are free to enter or not.
